GENERAL Terms & CONDITIONS
- Scope and Parties
- These Terms and Conditions (T&Cs) apply to all brokerage services provided by Astraios Aviation SMPC (hereinafter “theBroker”) in the area of private jet and helicopter charters for end customers.
- The contracting parties in the brokerage process are exclusively the Broker and the customer (hereinafter “the Charterer”).
- For all charter flights arranged through Astraios Aviation SMPC, these T&Cs shall apply exclusively; no externalTerms and Conditions of the operational service providers are incorporated.
- Contract Conclusion and Booking
- The Charterer submits a binding offer by placing a booking via email or by telephone.
- The contract shall only be concluded when theBroker confirms the booking in writing (e.g., by email) and only once the full charter price has been received in full on the account of Astraios Aviation SMPC.
- The Broker provides brokerage services exclusively; the operational execution of the charter flight is performed by independent service providers, whose internal payment processes are not part of this agreement.
- Payment Terms and Payment Security
- The prices stated in the confirmation comprise the charter price and include all services agreed upon in the contract.
- Payment Modalities:
The Charterer must pay the full charter price in advance. A booking confirmation will only be issued once the entire amount has been received in the account of Astraios Aviation SMPC. - All payments shall be made in Euros (EUR).
- In addition to the charter price, the Charterer is responsible for any additional costs not included in the charter price(e.g., airport fees, de-/anti-icing fees, administrative fees).
- Payment Methods:
- Credit Card Payment:
Payments can be made via a provided credit card link. The full amount will be debited immediately. A surcharge of 3.5% on the charter price applies. Accepted cards are Visa, Mastercard, and American Express. - Bank Transfer:
The full amount must be received and credited to the account of AstraiosAviation SMPC prior to booking confirmation.

- Cancellation and Rebooking Terms
- General Rule
- For all charter flights arranged through Astraios Aviation SMPC, the cancellation fees defined in Section 4.2 constitute a binding rule.
- As the full charter price is paid in advance, in the event of cancellation the cancellation fees defined in Section 4.2 shall be deducted directly from the amount already paid.
- If the calculated cancellation fee is less than 100% of the charter price, any remaining balance from the full amount shall be refunded to the Charterer immediately.
- Cancellation Fees (For the Charterer)
- In the event of cancellation by the Charterer, the following fees shall apply:
- More than 72 hours prior to departure: 15% of the charter price.
- Between 72 and 48 hours prior to departure: 60% of the charter price.
- Less than 48 hours prior to departure (including No‑Show): 100% of the charter price.
- In the event of cancellation by the Charterer, the following fees shall apply:
- Rebooking
- The Charterer may request a rebooking at anytime. The Broker will assess the feasibility of the rebooking and notify theCharterer immediately. Any additional costs arising from the rebooking will be invoiced separately.
- Special Provisions
- Permits and Operational Execution:
The charter flight will only be conducted if all required governmental permits(e.g., landing, overflight, etc.) are obtained in advance. If these permits arenot issued in a timely manner, the Broker shall inform the Charterer, who will then decide whether to proceed with the flight. In such cases, the Charterer is not liable for the portion of the service that was not rendered. - Cancellation by the Operational Service Provider: If a flight is cancelled by the operational service provider due to governmental orders, technical problems, weather conditions, or unforeseen restrictions, a full refund of the amount already paid shall be issued in accordance with applicable EU regulations, unless an alternative rebooking is requested.
- Force Majeure:
In the event of force majeure, the Charterer shall be exempt from any cancellation fees, provided that the operational service provider can not conduct the flight. Rebooking in such cases will be arranged following separate negotiation.
- Permits and Operational Execution:

- Additional Obligations of the Charterer
- Travel Documents and Formalities:
The Charterer shall provide all necessary travel documents (e.g., passport, visa, health or vaccination certificates) at least 48 hours prior to flight departure and ensure that all passengers are present at the agreed departure point on time. - Notice of Changes:
Any changes in relevant travel details or special requirements (e.g., special requests, additional baggage) must be communicated to the Broker immediately.
- Travel Documents and Formalities:
- Liability and Scope of Performance
- The Broker acts solely as a mediator and assumes no liability for the proper execution of the flight by the operational service provider.
- The Charterer shall indemnify the Broker against any claims arising from non-performance or defective performance by the operational service provider.
- The Broker’s liability is limited to cases of intent or gross negligence, to the extent permitted by law; no liability is assumed for indirect damages, lost profits, or any consequential losses.
- The liability of the operational service provider for personal injury, baggage loss, or any other flight-related damages is subject to statutory and international limits.
- Changes to Flight Schedules and Rebooking
- Flight Schedule Changes:
If the flight schedule changes due to governmental, technical, or operational reasons (e.g., altered departure times, alternative routes), the Charterer will be informed immediately. Any additional costs resulting from such changes shall be borne by the Charterer, provided that the Charterer agrees to the rebooking or implementation of the changed schedule.
- Flight Schedule Changes:
- Data Protection
- The Broker processes personal data solely for the purpose of executing the brokerage services.
- Disclosure to third parties only occurs to the extent necessary for conducting the charter flight (e.g., to operational service providers or payment processors).
- For further information, the Charterer should refer to the Astraios Aviation SMPC Privacy Policy.
- Governing Law and Jurisdiction
- This contract shall be governed by the Greek law in force at the time.
- The exclusive jurisdiction for all disputes arising from this contract shall, if permitted by law, lie with the place of business of Astraios Aviation SMPC, generally in Athens, Greece.
- Operating Costs, Safety, and other Provisions
- Scope of Services:
The charter price includes operating costs, maintenance costs of the aircraft, crew remuneration, third-party insurance (for personal and property damage), as well as landing, hangar, parking, and ground handling fees. Any costs beyond these (e.g., TEEA fees or other additional charges) shall be borne by the Charterer. - Aircraft Replacement:
The operational service provider reserves the right to replace the originally assigned aircraft with an alternative aircraft that has equivalent or superior specifications, without the Charterer’s consent. In the event of a replacement featuring a reduced capacity, the charter price will be adjusted accordingly. - Documentation and Regulatory Requirements:
The operational service provider is responsible for submitting all necessary documents required for flight authorization. The Charterer must provide all required documents (e.g., passport, visa, health/vaccination certificates) at least 48 hours prior to departure. - Pilot Authority and Safety Regulations: The pilot has exclusive authority in all safety-related matters, including but not limited to the allocation of passengers and baggage, loading procedures, and the selection of intermediate or final landing sites. The Charterer agrees to comply with all applicable regulatory, statutory, and safety requirements and not to transport dangerous goods in violation of provided guidelines.
- Additional Services:
Services such as hotel or car reservations and catering are provided solely on a mediation basis; the Broker is not liable for the proper execution of these additional services. - Termination for Breach:
Should either party materially breach the contract, the non-breaching party is entitled to terminate the contract without notice, without prejudice to any claims for damages.
- Scope of Services:
- Final Provisions
- Any changes or additions to these T&Cs must be made in writing.
- Should any provision of these T&Cs be or become invalid or unenforceable, the remaining provisions shall remain in full force and effect.
- By booking with Astraios Aviation SMPC, theCharterer acknowledges having read, understood, and accepted these T&Cs.
